Job Summary:

We are seeking a dynamic and organized individual to join our team as a Receptionist. This role involves providing exceptional customer service to our members, managing the front desk operations, and handling invoicing and payment processing.

Responsibilities:

  • Reception Duties:
  • Greet and welcome members and visitors in a friendly and professional manner.
  • Answer phone calls and direct inquiries to the appropriate individuals.
  • Manage the reception area, ensuring it is clean, tidy, and well-stocked.
  • Assist members with general inquiries, such as printing, scanning, and mail services.
  • Maintain a positive and welcoming atmosphere for all members.
  • Invoice Processing:
  • Generate accurate and timely invoices for members' usage of coworking space and services.
  • Process payments and reconcile accounts.
  • Monitor outstanding invoices and follow up on overdue payments.
  • Assist with financial reporting and analysis as needed.

Qualifications:

  • High school diploma or equivalent.
  • Previous experience in a receptionist or administrative role.
  • Strong organizational and time management skills.
  • Proficiency in Microsoft Office Suite, especially Excel.
  • Excellent communication and interpersonal skills.
  • Attention to detail and accuracy.
  • Ability to multitask and prioritize tasks.
  • Positive attitude and a team player mentality.

Preferred Qualifications:

  • Experience with accounting software (e.g., QuickBooks).
  • Knowledge of invoicing and payment processing procedures.
  • Some usage of social media platforms will be a plus!
